Christmas Festival Stall Bookings for 2025


Thank you for your interest in taking a stall the Christmas Festival on 29th November 2025.

You will find below an enquiry form and the stall holder information so you know what you're signing up for.

Please be aware that this an enquiry and not a booking.


The team will contact you on receipt of this form, having checked availability and ensuring there are no similar stalls. Once checked, a stall number will be allocated and payment will be due within 3 days to confirm your booking.

Dear Stallholders,

We're excited to announce that this year’s Christmas Event will be held on the 29th of November 2025.

To apply for a stall, please complete the form below. Once you have submitted your application, we will provide further details.


Please note: Due to previous instances of stallholders cancelling at short notice or not paying in advance, we now require payment upon acceptance of your application. Your stall space will be held for one week only following acceptance to allow time for payment. This policy ensures we can accommodate as many committed stallholders as possible. We appreciate your cooperation on this matter.


Additionally, there will be changes to the car arrival process, which will now follow a two-tier system. Full details will be sent to you in due course.


This year’s prices have been confirmed as

  • 3m x 3m Stall / Gazebo – £30.00
  • 3m x 4.5m Stall / Gazebo – £35.00

Note: Any gazebo larger than the above sizes will not be accepted due to limited spaces so please make sure you state the exact size of your gazebo when applying, as this helps us allocate you to the right location.


Charity spaces have also seen a small increase and will now cost £15.00. Spaces are limited, so it will be on a first come, first served basis.

 

Event Disclaimer – Christmas Celebration

Please note that while we strive to ensure a safe and enjoyable experience for all attendees, certain areas of the event site—particularly the car park, pavements, and surrounding walkways—may have reduced lighting and uneven surfaces. We kindly advise all guests to take extra care when walking, especially during the evening hours.

 

By attending this event, you acknowledge that you do so at your own risk and that the event organizers are not liable for any injuries, damage, or loss sustained as a result of slips, trips, falls, or other accidents due to poor lighting or surface conditions.

 

Parents and guardians are reminded to supervise children at all times, and appropriate footwear is recommended.

Enquire about a stall


Stall Holder Information

Thank you very much for your interest in the Southwater Christmas Event. This year we have a fantastic line up of entertainment and attractions, so we are hoping for a great turn out.

Payment
Payment for stalls will be taken by card either in person, by arrangement, or online.

Insurances
As a stallholder, is it a requirement for you to have Public Liability Insurance – please email in a copy to 
southwaterstalls@gmail.com. If you need help with this, please do let us know.

Venue
Please be aware this is an outside event so please be prepared for all weather conditions. You will need a gazebo (see above) so please ensure that you have suitable weights to secure your gazebo legs to the concrete ground.

Important information for the day
On arrival please drive to Lintot Square where you will be greeted by an event marshal and directed to your stall

  • Set up anytime from 10:00 am
  • All vehicles must be removed from site by 11:30am
  • No vehicles can be brought onto site until the event ends at 4:30pm
  • Please be aware that the morning set up will be very busy and so we always ask all vehicles to have their hazard lights on and keep to a 5mph speed limit.
  • You will have to provide your own table / stand and seating.

 
On this occasion stall holders will be able to park in The Ghyll overflow carpark (behind Beeson House, at the back of Lintot Square)
 
If the weather is very bad on the day then we will do all that we can to inform you of this in advance, but the event will go on, wind, rain, snow or shine.
